DSR Report on a POS Terminal
Overview
Open the DSR Report on a POS terminal to see how the store did over a range of days, and print it on the terminal's receipt printer.
The report shows baskets and net sales, a breakdown of how customers paid, taxes, payouts and drops, and sales by department. It is also available in Back Office.
Printing it on the terminal is useful at close, when you want a paper copy to sign, drop in the safe, staple to the deposit, or hand to the next shift.
The numbers are the same numbers Back Office shows for the same dates.
How to Use
Reading the report for a date range
- On the POS, tap Quick Report.
- Pick DSR Report from the report type list.
- Choose a beginning date and an ending date. You will not see hour, minute, or AM/PM controls for this report — it always covers whole business days, using the cutoff time your store is set up with.
- If your store uses profit centers, tick the ones you want in the Profit Centers list. You can tick as many as you like, the same way the Product Mix Report works. Leave them all unticked to cover the whole store.
- Tap Submit.
- Enter the manager code when prompted. This is the same code that already controls access to Sales Reports.
- The report opens on the terminal. It will say it is gathering the numbers for a moment — a wide date range on a busy store takes longer.
- Scroll to read the whole report.
Printing it
With the report open, tap Print. It prints on the receipt printer attached to that terminal.
The top of the printout shows the date range covered, the profit center if you picked one, and when it was printed and by whom.
You can print as many copies as you like while the report is open.
Opening it from the Reports screen
- Tap Reports on the POS.
- Pick the Sales Reports category.
- Tap DSR report.
- Enter the manager code when prompted.
The report opens on the terminal, covering today.
Every other report on that screen opens in the in-app report viewer instead — a full-screen window inside the POS showing the Back Office page, with a Close button. The DSR Report is different: it opens as a proper terminal screen, because it is the one that can print on this terminal's receipt printer.
To read a different date range, go through Quick Report instead.
What the report shows
The report has ten sections, in this order:
- Summary — baskets, items, net sales, average items per basket, average sale, and scan ratio
- Sales — Taxable Product Sales, Taxable Other Sales, Total Tax and Fees, Non-Taxable Product Sales, Non-Taxable Other Sales, and Gross Sales (see The Sales section)
- Payments — by method, with basket count and percentage, amount and percentage, and a totals row
- Payouts, Drops, Cash Backs And Collections — including Lottery Cash Back (see Lottery payouts)
- Tax Information — taxable sales, then one line per tax
- Other Information — online orders, refunds, promos, discounts, eWIC NTE overcharge, GPI
- Counts — total no sales, canceled baskets, voided items, discounted lines, and price overridden items
- Verification — age verified baskets
- Net Product Sales by department
- Net Other Sales by department
Everything you see on screen also prints.
The Sales section
The Sales section splits the department sales at the bottom of the report by whether the item was taxed:
- Product and Other follow the same split as the two department sections. Lottery, money order, fee and service departments, and items with no department, count as Other. Everything else is Product.
- An item counts as taxable when it was rung with a sales tax that has a rate above zero. An item rung tax exempt counts as non-taxable. A bottle deposit such as CRV doesn't make an item taxable; the deposit is in Total Tax and Fees.
- Total Tax and Fees is the tax in the Tax Information section plus any service fees.
- Gross Sales is the five lines above it added together.
Taxable Product Sales plus Non-Taxable Product Sales equals the Net Product Sales total, and the two Other lines equal the Net Other Sales total.
Lottery payouts
A payout whose payment method or reason name contains "lottery", "lotto" or "scratch" (for example Lottery Payout or Scratch Payout) shows as Lottery Cash Back, not as Vendor Payouts. If your lottery payout method has a different name, rename it in Back Office so it includes one of those words.
Limitations
- The counts do not open up. Total No Sales, Total Canceled Baskets, Total Voided Items, Total Discounted Lines, and Price Overridden Items show a number only. You cannot tap them to see the individual entries, and those entries never print. To see them individually, use Back Office.
- There is no per-terminal filter. The terminal version cannot be limited to one terminal, even though Back Office has that filter.
- Several profit centers have no Back Office match. Back Office only lets you pick one profit center at a time, so if you tick several there is no matching Back Office run to compare the figures against.
- You need the sales-reports permission, the same one that already controls Sales Reports on the POS Reports screen.
- No printer, no printing. If the terminal has no receipt printer set up, the report still opens and is fully readable — the Print control is greyed out.
- Printing works the way all POS printing works. The POS does not get confirmation that the printout came out. If the printer is off, jammed, or out of paper, you will not see a message. This is how every receipt on the POS behaves.
- The Back Office closing note about third-party delivery (DoorDash, Grubhub) is not shown on the terminal.
FAQ
Do the numbers match Back Office? Yes — for the same dates, run either for the whole store or for a single profit center. Both use your store's configured business-day cutoff, so late-night trade lands on the day it was rung. If you tick several profit centers there is no equivalent Back Office run, because Back Office only offers one at a time.
Does the printout show the store name? Yes. It prints the store name you have configured, the same one that appears on gift card balance slips and credit receipts. If you run the report for a single profit center and that center has its own name set, the center's name is printed instead. Below that come the date range, the profit centers when you picked some, and when it was printed and by whom. If no store name has been set, the line is left off rather than printed blank.
What does "business day" mean here? If your store's cutoff is 5:00 AM, a one-day report covers 5:00 AM that day through 4:59:59 AM the next morning. A sale rung at 1:00 AM belongs to the previous business day.
Does the report look different after End of Day? No. The report includes every completed sale in the dates you pick, whether or not End of Day has been run for them, so a day shows the same items, payments, departments and net sales before and after you close it. One thing to know: once a day is closed, its summary figures (net sales, baskets, tax) stay as they were at End of Day. If a sale from that day is canceled afterwards, it drops out of the item and department totals but stays in the summary.
Can I run a whole month? Yes, there is no limit on how wide a range you can pick. A wide range on a busy store takes longer to gather, and the screen tells you it is working while it does.
What if I pick the dates in reverse order? You will see "The end date must be on or after the begin date." and stay on Quick Report with your dates as you typed them, so you can change whichever one needs it.
What if there were no sales that day? The report opens showing zeros, and you can still print it. Printing a zero report for a closed day is perfectly normal.
Can I preview before printing? The report on screen is the preview. Print sends it straight to the printer.
Is this available to every store? Yes. There is no setting to turn it on or off.
Does the Back Office report show the same sections? Yes. The Back Office report shows the same Sales section and Lottery Cash Back row as the terminal, so the two match. Its page heading reads "Store Statistics".
