Totals Template Designer
Overview
The Totals Template Designer lets you build as many totals templates as you want and pick which one each Receipt Template uses.
A totals template controls the lines that print at the bottom of a receipt - things like Subtotal, Taxes, Gratuity, Discounts, and the Grand Total.
The designer is a live, drag-and-drop editor with a real-time preview that shows what your totals will look like on the receipt.
How to Use
Open the designer
- From the Back Office, go to Printing & Receipts > Receipt Templates.
- At the bottom of the assignments grid, click the Totals Templates button. (You can also use the global search at the top - type "Totals Templates".)
- The Totals Templates page shows one card per template with a small preview of what each one looks like.
Create a new totals template
- Click New Totals Template in the top right.
- The designer opens with the cursor in the Name field. Give your template a name (for example, "Standard Totals" or "Quick-service Totals").
- Click Add line under the preview to add your first line.
- The new line is selected automatically and the right panel shows its settings.
Edit a line
When a line is selected, the right side shows three things:
- Line label - the text printed on the left side of the line. For example,
Subtotal,Tax,Tip,Grand Total. Leave it blank for a spacer. - Hide line when value is zero - a switch. If on, the line will not print when its computed amount is zero. Useful for optional lines like Discounts, Gratuity, and Tips.
- Value (what this line totals) - the components that add up to the printed amount. Use + to add a component or − to subtract one.
For example, a typical Grand Total line adds Subtotal, Taxes, Fees, Gratuity, and Tips, and subtracts Discounts.
To add a component:
- In the Add component row at the bottom of the right panel, choose + or −.
- Choose the component from the dropdown (Subtotal, Fees, Gratuity, Taxes, Discounts, Tips, Rounding).
- Click the + button on the right.
To change a component, just change the +/− or the dropdown directly in the Components list. To remove a component, click the x next to it.
Reorder, duplicate, delete lines
- Reorder: grab the ⋮ drag handle on the left of any line and drop it where you want.
- Duplicate: select a line and click Duplicate in the right panel (or press Ctrl+D).
- Delete: select a line and click Delete line (or press Delete).
Save your work
Click Save in the top right. The save status next to the button shows Saving..., then Saved when it's done. If you try to leave the page with unsaved changes, the browser will warn you.
You can also press Ctrl+S at any time.
Assign your totals template to a receipt
- Go to Printing & Receipts > Receipt Templates.
- Click Edit on a receipt template.
- In the top bar, choose your totals template from the Totals Template dropdown.
- Click Save on that page too.
The receipt will use those totals lines the next time it prints.
Clone an existing template
On the Totals Templates list page, click the clone icon (two pages) on any card. A copy is created with (Copy) appended to the name and the editor opens immediately so you can rename and tweak it.
Limitations
- A line's components must come from the predefined list (Subtotal, Fees, Gratuity, Taxes, Discounts, Tips, Rounding). You can't print arbitrary custom values from the totals editor.
- The designer doesn't show your real numbers - it shows a sample so you can see the layout. Real amounts are calculated by the POS at print time.
- All lines save together when you click Save. There is no per-line save.
- A totals template applies to a receipt only when a receipt template references it (set on the receipt template's Totals Template dropdown).
- Deleting a totals template that's referenced by a receipt template will leave the receipt template falling back to default behavior - reassign it before deleting if that matters to you.
FAQ
Q: What happens to receipts when I edit a totals template? A: They start using the edited layout the next time they print. There is no need to restart the POS. A change can take one more ticket to appear.
Q: Can I have different totals lines for different printers (kitchen vs. customer)? A: Yes - build separate totals templates and assign each to the appropriate Receipt Template on the Receipt Templates page. Each Order Method / Receipt Type combination can use its own receipt template, and each receipt template can use its own totals template.
Q: Why is a line greyed out in the preview? A: It has Hide line when value is zero turned on and its computed sample value is zero. In the preview, a line is greyed out only because its sample value is zero. On a real receipt it prints when its value is not zero.
Q: What is "Rounding"? A: A small adjustment some stores apply for cash rounding (for example, rounding to the nearest 5 cents). Add it as a component if your business uses it - leave it out if you don't.
Q: I don't see a "Grand Total" component. How do I add a grand total line?
A: There isn't a single "Grand Total" component because every business builds it slightly differently. Add a line called "Grand Total", set its components to all the parts that make up your grand total (typically + Subtotal, + Fees, + Gratuity, + Taxes, + Tips, - Discounts), and that line's printed amount will be your grand total.
Q: Can I undo a delete? A: No. Be sure before clicking Delete - both for lines (inside the editor) and for whole templates (on the list page). Use Clone before risky edits if you want a backup.
